Refund Policy

How subscription fees, renewals, cancellations, and failed payments are handled for Beauty Club salon accounts.

This Refund Policy applies to monthly Beauty Club subscriptions purchased by salons, spas, clinics, studios, and other business accounts.

Beauty Club is a business subscription platform. Beauty Club does not collect, hold, receive, or process payments from a salon's end customers for salon services, appointments, products, deposits, or other customer transactions.

1. Scope of This Policy

This policy applies only to subscription fees charged by Beauty Club to business accounts for access to the platform and related features.

Any refund, cancellation, chargeback, complaint, or dispute relating to a salon's own customers, services, appointments, products, or in-store or online transactions is solely between that salon and its customer. Beauty Club is not the merchant of record for those customer payments.

2. Billing and Auto-Renewal

Beauty Club subscriptions are billed monthly in advance and renew automatically on each monthly renewal date unless canceled before the next renewal.

By maintaining an active subscription, you authorize Beauty Club to charge the payment method on file for recurring monthly subscription fees and any valid overdue amounts.

3. No Refunds After Renewal

To the maximum extent permitted by law, monthly subscription fees are non-refundable once charged or once a renewal has been processed.

This includes cases of partial-month use, non-use, low usage, change of mind, business closure, mistaken sign-up by your staff, or cancellation made after a renewal date. Cancellation stops future renewals only and does not create a right to a refund for the current billing period unless required by applicable law.

4. Billing Errors

If you believe Beauty Club charged your account incorrectly, charged a duplicate amount, or charged after a valid cancellation took effect, contact us promptly at hello@beautyclubkw.com with your account details and supporting information.

If we confirm a billing error made by Beauty Club, we may issue a correction, credit, or refund in whole or in part, as appropriate.

5. Failed or Overdue Payments

If a payment is declined, reversed, charged back, or otherwise remains unpaid, Beauty Club may retry the payment method on file and may suspend or deactivate the relevant salon account until all outstanding amounts are paid.

Deactivation for non-payment does not mean deletion. The account may be disabled while preserving account records, settings, content, and history in accordance with our internal retention practices, legal obligations, and other applicable policies.

6. Reactivation

A deactivated account may be reactivated only after outstanding fees, valid retry charges, and any then-current subscription charges are paid in full, subject to Beauty Club's approval and system availability.

Beauty Club is not responsible for any business loss, missed leads, missed bookings, reputational impact, or data-access interruption resulting from suspension or deactivation caused by failed or overdue payment.

7. Chargebacks and Payment Disputes

Starting a chargeback or payment dispute does not automatically cancel your subscription or waive outstanding amounts owed to Beauty Club.

Where permitted by law, Beauty Club may contest improper chargebacks, recover unpaid fees, and limit or permanently restrict access to accounts associated with abusive, fraudulent, or bad-faith payment disputes.

8. Cancellation by the Salon

You may cancel your subscription at any time before the next renewal date to prevent the next monthly charge.

Unless required by law, Beauty Club does not provide prorated refunds, partial credits, or cash reimbursements for unused time remaining in a billing cycle after cancellation.

9. Customer Payments and Salon Responsibility

Beauty Club does not take money from salon customers and is not responsible for issuing customer refunds for salon services, products, bookings, deposits, packages, memberships, gift cards, or promotions offered by a salon.

Each salon is solely responsible for its own customer-facing terms, payment collection, cancellations, refunds, complaints, taxes, and compliance obligations.

10. Changes and Contact

Beauty Club may update this policy at any time by posting the revised version on the website or app. The updated version becomes effective when posted unless stated otherwise.
